Monthly Payroll Processing Checklist for Indian Companies
A reliable monthly payroll run follows twelve steps: freeze attendance, approve leave, record joiners and leavers, apply changes, add variable pay, calculate overtime, run payroll, review variances, approve, disburse, issue payslips, and deposit statutory dues. Doing them in the same order every month prevents most errors.
Before the run
- Freeze attendance for the cycle and resolve missing punches.
- Approve all leave and regularisation requests.
- Record joiners, leavers and transfers with effective dates.
- Apply salary revisions, new allowances and deduction changes.
- Add variable items: bonus, incentives, arrears, reimbursements, loan EMIs and advances.
- Calculate overtime from approved time data.
The run
- Process payroll and generate the draft register.
- Review variances against last month — headcount, gross, net, deductions. Investigate anything that moved more than expected.
- Hold salaries where required, with a documented reason.
- Approve the register once reviewed.
After the run
- Disburse salaries and reconcile against the bank.
- Issue payslips to every employee.
- Compute and deposit PF, ESI, PT and TDS by their due dates.
- Archive the register, challans and approvals for audit.
Why most errors are upstream
Late joiners, unapproved leave and wrong attendance cause most payroll corrections, not calculation bugs. The fewer places data is re-entered, the fewer errors. That is the case for running attendance, leave and payroll on one connected platform such as TimesalX.
Frequently asked questions
How long should monthly payroll take?
With clean, approved attendance and leave data, the run itself can be quick. Most of the time is spent fixing upstream data, which is why integration matters.
What should be reviewed before approving payroll?
Variance against the previous month in headcount, gross pay, net pay and deductions, plus any holds and one-off payments.
